Making Your Products Bookable with Cally

Schedule

Schedules in Cally allow you to set up availability for your bookable products and services. Each product and staff member must have a schedule. By default, you can create a continuous availability schedule with one click, making the product or staff member always available.

Depending on the type of service you're providing, you can choose to create a weekly recurring schedule to specify the availability for each day of the week, or a non-repeating schedule to specify multiple date-time ranges.

Staff Members

If a product or service is provided by a specific staff member, assign that staff member to the product. The product will be available for booking when the staff member's and product's schedules overlap.

Gaps

You can specify before and after gaps for your products, which will create unallocated time slots. If there is a gap between appointments set for the product's schedule, the largest value will take effect. The same applies if a staff member has a different schedule with a separate gap—the greatest gap value will be used.

Custom Duration

To allow customers to specify the duration of a product, such as choosing the rental period for a vehicle, enable the custom duration feature.

Multiple Attendees

For group services, such as classes or workshops, you can specify the maximum number of attendees. Set the value to 1 for personal services, or to -1 to allow an infinite number of attendees.

Customer Reschedule & Cancellation

Enable or disable the option for customers to reschedule or cancel their appointments. You can also specify the time gap before the appointment within which customers can make changes.

Integrations

Enhance your services by adding integrations. For instance, you can set up online video sessions using Zoom or Google Meet, allowing appointments to be held virtually.

Step-by-Step Guide

Example Setup: Creating and Setting Up a "Manicure" Service

1. Create a Product in Shopify

  1. Access your Shopify Admin Panel.
  2. Navigate to Products > Add product.
  3. Input the following product details:
    • Title: Manicure
    • Description: Provide a comprehensive description of the manicure service.
    • Price: Define the price for the manicure service.
  4. Proceed to the Cally app, then go to Products > Add product.
  5. Configure the product settings, including time gaps, timezone adjustments, and more.
  6. Activate and save the product settings.

2. Assign a Schedule in Cally

  1. Navigate to Schedules > Add schedule.
  2. Create a new schedule:
    • Name: Manicure Schedule
    • Type: Choose between a continuous availability schedule or a non-repeating schedule (e.g., specific dates for promotional events).
  3. Set the availability times:
    • Days and times: Specify when the manicure service is available for booking.
    • Gaps: If needed, set before and after gaps to allow preparation and cleanup time.
  4. Save the schedule.

3. Activate the Product and Schedule

  1. In the Cally app, go to Products > Manage products.
  2. Select the "Manicure" product you created.
  3. Assign the Manicure Schedule to this product.
  4. Save the changes.

4. (Optional) Assign Staff Members

  1. In the Cally app, navigate to Staff Members > Add staff member.
  2. Enter the details of the staff member who will provide the manicure service.
  3. Assign the staff member to the "Manicure" product.
  4. Link their calendar (e.g., Google Calendar) to ensure bookings appear on their schedule.
  5. Save the staff member details.

5. Enable Custom Duration and Multiple Attendees (if applicable)

  1. Go to Products > Manage products in the Cally app.
  2. Select the "Manicure" product.
  3. Enable Custom Duration if you want to offer different lengths of manicure sessions.
  4. Set the Multiple Attendees to 1, as a manicure service is typically a one-on-one service.
  5. Save the changes.

6. Enable Customer Reschedule & Cancellation (optional)

  1. In the Cally app, navigate to Products > Your Product.
  2. Enable or disable the option for customers to reschedule or cancel their appointments.
  3. Specify the time frame before the appointment within which changes can be made.
