Adding and Managing Staff Members

Effectively managing staff members in Cally ensures your customers can choose their preferred service provider and streamlines scheduling. Follow these steps to set up and manage staff members efficiently:

Add Staff Members

Adding staff members allows you to provide personalized service options to your customers. To add a staff member:

  1. Navigate to Staff Members: Go to the Cally app dashboard and click on Staff Members > Add staff member.

  2. Enter Details: Fill in the required details for the staff member, including their name, contact information, and any relevant notes.

  3. Save Staff Member: Click 'Save' to add the staff member to your Cally account.

Assign Schedules

Each staff member must have a schedule assigned to specify their unique availability. You can assign multiple services to each staff member based on what they will be providing.

  1. Create Schedules: Navigate to Schedules > Add schedule in the Cally app.

  2. Assign to Staff Members: Select or create a schedule for each staff member. Specify their availability by setting days, times, and any recurring patterns.

  3. Save Schedule: Save the schedule to apply it to the respective staff member.

Align Product & Staff Availability

Ensure that the product's availability intersects with the staff member's availability. Only the intersecting times will be available for customers to book.

  1. Link Services: Navigate to Products > Manage product in Cally.

  2. Assign Staff Members: Assign staff members to each product or service they will provide.

  3. Check Availability: Ensure that the availability times of the product intersect with the staff member's schedule. This ensures that customers can only book appointments during overlapping times.

Integrations

For enhanced convenience, link each staff member's calendar to Cally. This ensures that each appointment is automatically synchronized with their personal calendar, thereby streamlining their schedule management.

  1. Navigate to Settings: Go to the Settings page in the Cally app.

  2. Integrate Calendars: Connect each staff member's calendar (e.g., Google Calendar) to Cally. This integration automatically updates their schedule and appointments.

  3. Assign Calendars: On the staff member's profile page, select their calendar under the integrations section.

  4. Save Integration: Save the settings to complete the calendar integration for your staff members.
